{"id":1771,"date":"2024-03-24T22:57:52","date_gmt":"2024-03-24T22:57:52","guid":{"rendered":"https:\/\/contentsnare.com\/help\/knowledge-base\/suitefiles\/"},"modified":"2024-03-24T22:58:15","modified_gmt":"2024-03-24T22:58:15","slug":"suitefiles","status":"publish","type":"ht_kb","link":"https:\/\/help.contentsnare.com\/knowledge-base\/suitefiles\/","title":{"rendered":"How to integrate SuiteFiles with Content Snare"},"content":{"rendered":"\n<p><a href=\"https:\/\/contentsnare.com\/\">Content Snare<\/a>&nbsp;helps onboard clients and makes it easy to collect the documentation you need at tax time.<\/p>\n\n\n\n<p>By integrating Content Snare with SuiteFiles, it will automatically upload completed client forms and all their documents to a folder in SuiteFiles.<\/p>\n\n\n\n<p>Here\u2019s how to set it up.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"step-1-create-a-content-snare-folder-in-suitefiles\">Step 1: Create a Content Snare folder in SuiteFiles<\/h2>\n\n\n\n<p>Content Snare needs a dedicated folder to upload files to. Create one in a place that makes sense for your process.&nbsp;<\/p>\n\n\n\n<p>Below, we\u2019ve created a folder called&nbsp;<strong>Content Snare<\/strong>&nbsp;in the default&nbsp;<strong>Clients&nbsp;<\/strong>folder.&nbsp;<\/p>\n\n\n\n<p>Note that Content Snare will create folders inside this, so files for a client called \u201cACME Inc\u201d would appear in:<\/p>\n\n\n\n<p>Home &gt; Clients &gt; Content Snare &gt; ACME Inc &gt; 2023 Tax<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/suitefiles-1-1024x538-1.png\" alt=\"\" class=\"wp-image-1682\"\/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"step-2-connect-content-snare-to-sharepoint\">Step 2: Connect Content Snare to SharePoint<\/h2>\n\n\n\n<p>Content Snare integrates with SuiteFiles through Microsoft SharePoint.&nbsp;<\/p>\n\n\n\n<p>In your Content Snare account, click your avatar in the top right corner and go to&nbsp;<strong>Settings&nbsp;<\/strong>\u2013&nbsp;<strong>Integrations<\/strong>.<\/p>\n\n\n\n<p>Click the button in the&nbsp;<strong>OneDrive\/SharePoint<\/strong>&nbsp;area.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/suitefiles-2-1024x538-1.png\" alt=\"\" class=\"wp-image-1683\"\/><\/figure>\n\n\n\n<p>If you are already logged into SharePoint, you will see an authorisation screen like the screenshot below. If not, you will be asked to log in. Click the Yes button to allow Content Snare to connect to your SharePoint.&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/suitefiles-3-1024x538-1.png\" alt=\"\" class=\"wp-image-1684\"\/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"step-3-choose-your-folder-to-upload-files-to\">Step 3: Choose your folder to upload files to<\/h2>\n\n\n\n<p>Once connected, you\u2019ll be taken back to Content Snare.&nbsp;<\/p>\n\n\n\n<p>Click the&nbsp;<strong>Configure&nbsp;<\/strong>button under&nbsp;<strong>OneDrive\/SharePoint<\/strong>. You\u2019ll<strong>&nbsp;<\/strong>see a popup that looks like this.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/suitefiles-4.png\" alt=\"\" class=\"wp-image-1685\"\/><\/figure>\n\n\n\n<p>Click the button to&nbsp;<strong>Select a folder<\/strong>.<\/p>\n\n\n\n<p>A popup will appear with your SharePoint sites.<\/p>\n\n\n\n<p>Look for&nbsp;<strong>suitefIles&nbsp;<\/strong>in the left hand sidebar. Click it to open your SuiteFiles folders.&nbsp;<\/p>\n\n\n\n<p>Note: If you cannot see&nbsp;<strong>suitefiles<\/strong>&nbsp;in the left hand column, jump down to the troubleshooting section at the bottom for your next steps.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/suitefiles-5.png\" alt=\"\" class=\"wp-image-1686\"\/><\/figure>\n\n\n\n<p>Then select the folder you created in Step 1.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/suitefiles-6.png\" alt=\"\" class=\"wp-image-1687\"\/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"step-4-choose-your-settings\">Step 4: Choose your settings<\/h2>\n\n\n\n<p>Once you have done this, the popup will close and you\u2019ll see this screen back at Content Snare.<\/p>\n\n\n\n<p>It should say&nbsp;<strong>Selected<\/strong>&nbsp;next to the&nbsp;<strong>Select a folder<\/strong>&nbsp;button.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/suitefiles-7.png\" alt=\"\" class=\"wp-image-1688\"\/><\/figure>\n\n\n\n<p>You may now configure the rest of the options.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Path<\/strong>&nbsp;\u2013 this is where files will be uploaded inside the dedicated Content Snare folder. The placeholders like&nbsp;<strong>Client Name<\/strong>&nbsp;and&nbsp;<strong>Request Name<\/strong>&nbsp;will be replaced with the actual names from Content Snare. For example, if you send a request called \u201c2023 Tax\u201d to \u201cACME Inc\u201d, it would be uploaded to&nbsp;<em>Home &gt; Clients &gt; Content Snare &gt; ACME Inc &gt; 2023 Tax<\/em><\/li>\n\n\n\n<li><strong>When should files be sent<\/strong>&nbsp;\u2013 clients can upload files to Content Snare over a period of time. You may wish to upload them to SuiteFiles immediately, once you approve the file, or when the entire request is complete. Note that if a file is deleted from Content Snare, the file name is changed to have \u201c_deleted\u201d on the end. It is not deleted from SharePoint \/ SuiteFiles.<\/li>\n\n\n\n<li><strong>Automatically export the request<\/strong>&nbsp;\u2013 enable this if you\u2019d like the form \/ request to be uploaded to SuiteFiles as well. This includes any of the text-based answers that your client has answered in Content Snare. Once enabled, select the file type you would like it exported to. Typically, PDF is chosen.<\/li>\n<\/ul>\n\n\n\n<p>That\u2019s all! Now your client forms and files in Content Snare will be uploaded to SuiteFiles.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"troubleshooting-suitefiles-not-showing-in-the-sidebar\">Troubleshooting SuiteFiles not showing in the sidebar<\/h2>\n\n\n\n<p>When you connect to SharePoint, if you do not see&nbsp;<strong>suitefiles<\/strong>&nbsp;in the left sidebar, there are some things to check.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/suitefiles-8.png\" alt=\"\" class=\"wp-image-1689\"\/><\/figure>\n\n\n\n<p>First, navigate to SuiteFiles in your SharePoint account.&nbsp;<\/p>\n\n\n\n<p>To see the below screen, first go to your SuiteFiles. Take a note of the subdomain \u2013 everything before \u201c.sharepoint.com\u201d in the URL.<\/p>\n\n\n\n<p>For example, if when you look at SuiteFiles, the URL is:<\/p>\n\n\n\n<p><\/p>\n\n\n\n<p class=\"has-black-color has-text-color has-link-color wp-elements-d07a09bf7d0d4ed55aa6ec8a81c56729\"><a href=\"https:\/\/yoursubdomain.sharepoint.com\/sites\/suitefiles\/AppPages\/documents.aspx\" target=\"_blank\" rel=\"noopener\">https:\/\/<\/a><strong>yoursubdomain<\/strong><a href=\"https:\/\/yoursubdomain.sharepoint.com\/sites\/suitefiles\/AppPages\/documents.aspx\" target=\"_blank\" rel=\"noopener\">.sharepoint.com\/sites\/suitefiles\/AppPages\/documents.aspx<\/a><\/p>\n\n\n\n<p><strong>yoursubdomain<\/strong>&nbsp;is the part you need.<\/p>\n\n\n\n<p>Replace \u201cREPLACE_THIS\u201d in the following URL with your subdomain.<\/p>\n\n\n\n<p>https:\/\/<strong>REPLACE_THIS<\/strong>.sharepoint.com\/sites\/suitefiles\/Shared%20Documents\/Forms\/AllItems.aspx<\/p>\n\n\n\n<p>You will see this screen.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/suitefiles-9-1024x538-1.png\" alt=\"\" class=\"wp-image-1691\"\/><\/figure>\n\n\n\n<p>Click the button to&nbsp;<strong>Pin to Quick access<\/strong>.<\/p>\n\n\n\n<p>Go back to step 3 and continue your setup.<\/p>\n\n\n\n<p>If this still does not work, there is likely a permission problem. The account you are logging into SharePoint with might not have access to SuiteFiles.
