{"id":1847,"date":"2024-03-24T22:59:30","date_gmt":"2024-03-24T22:59:30","guid":{"rendered":"https:\/\/contentsnare.com\/help\/knowledge-base\/schedules\/"},"modified":"2025-11-19T11:10:51","modified_gmt":"2025-11-19T11:10:51","slug":"schedules","status":"publish","type":"ht_kb","link":"https:\/\/help.contentsnare.com\/knowledge-base\/schedules\/","title":{"rendered":"Schedules"},"content":{"rendered":"\n<p>A reminder schedule is a set of rules that determines when Content Snare sends reminders.<\/p>\n\n\n\n<p>You can access schedules from the <strong>Reminders<\/strong> tab on the main dashboard:<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/chrome_XCADc7PH45-1024x213.png\" alt=\"\" class=\"wp-image-1737\"\/><\/figure>\n\n\n\n<p>There\u2019s a <strong>Default<\/strong> reminder schedule in Content Snare, but you can also choose the <strong>No automatic reminders<\/strong> schedule to send the initial notification only.<\/p>\n\n\n\n<p>In addition, it\u2019s possible to create as many of your own reminder schedules as you need.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Editing the default reminder schedule<\/h2>\n\n\n\n<p>You can create your own reminder schedule from scratch or edit the default version. For now, let\u2019s edit the default reminder schedule.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td><strong>Note<\/strong>: We suggest duplicating the original to use a reference later or in case you make a mistake. To copy the default reminder schedule, click the dotted area next to its name and then choose <strong>Duplicate<\/strong>.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<figure class=\"wp-block-embed is-type-video is-provider-vimeo wp-block-embed-vimeo wp-embed-aspect-16-9 wp-has-aspect-ratio\"><div class=\"wp-block-embed__wrapper\">\n<iframe loading=\"lazy\" title=\"5 - Edit reminders\" src=\"https:\/\/player.vimeo.com\/video\/518886744?dnt=1&amp;app_id=122963\" width=\"1200\" height=\"675\" frameborder=\"0\" allow=\"autoplay; fullscreen; picture-in-picture; clipboard-write; encrypted-media; web-share\" referrerpolicy=\"strict-origin-when-cross-origin\"><\/iframe>\n<\/div><\/figure>\n\n\n\n<p>The default reminder is based on a few simple rules:<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled-4-1024x231.png\" alt=\"\" class=\"wp-image-1738\"\/><\/figure>\n\n\n\n<p>Let\u2019s analyze the first rule from the screenshot above:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>5 days after the request is published&nbsp;<\/li>\n\n\n\n<li>If no fields have been completed&nbsp;<\/li>\n\n\n\n<li>Send the \u201cNot Started\u201d email<\/li>\n\n\n\n<li>To the client<\/li>\n\n\n\n<li>At 9 AM&nbsp;<\/li>\n<\/ul>\n\n\n\n<p>You can change each of these elements by choosing a different option from the drop-down menu:<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled1-2.png\" alt=\"\" class=\"wp-image-1739\"\/><\/figure>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td><strong>Note<\/strong>: The system sends reminders at the specified time in the client\u2019s time zone. This can be changed by editing the client.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p>If you want to delete a rule, click the dotted area on the right and then <strong>Delete<\/strong>. If you want to add another rule, click <strong>Add new rule<\/strong> and a new line will appear at the bottom of the list. Fill it in to set your own conditions for the new email:<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled2-4-1024x232.png\" alt=\"\" class=\"wp-image-1744\"\/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Event notifications<\/h3>\n\n\n\n<p>Further down, you\u2019ll see <strong>Event Notifications<\/strong>. These are not time-based emails, but rather action-triggered notifications. For example, when the request is first published, the system will send the <strong>New Request\/Client Sign Up<\/strong> email to your client.&nbsp;<\/p>\n\n\n\n<p>By default, your client will also receive an email in these events:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Filed rejected<\/li>\n\n\n\n<li>Field completed<\/li>\n\n\n\n<li>All fields completed<\/li>\n\n\n\n<li>Rejected field completed<\/li>\n\n\n\n<li>Request completed<\/li>\n<\/ul>\n\n\n\n<p>If needed, you can delete some events or create new ones by clicking <strong>Add new event<\/strong>:<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled3-1-1024x200.png\" alt=\"\" class=\"wp-image-1745\"\/><\/figure>\n\n\n\n<p>Once done, click <strong>Save<\/strong> in the upper-right corner of the interface to save the edited version of the default reminder schedule.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Create your own reminder schedule from scratch<\/h2>\n\n\n\n<p>You can also create a reminder schedule from scratch by clicking <strong>Add a reminder schedule<\/strong> at the bottom-left corner of the <strong>Schedules<\/strong> tab. This opens a new page with reminder schedule details, so you\u2019ll need to fill it in:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Schedule template name<\/li>\n\n\n\n<li>Schedule description (optional)<\/li>\n\n\n\n<li>Scheduled communications&nbsp;<\/li>\n\n\n\n<li>Event notifications&nbsp;<\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/chrome_1n15DZbXo1-1024x406.png\" alt=\"\" class=\"wp-image-1746\"\/><\/figure>\n\n\n\n<p>From there, you can add as many rules and events as you see fit. When you\u2019re done creating it, click Save in the upper-right corner and your tailored reminder schedule will appear in the Schedules tab.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Assign a reminder schedule to a request<\/h2>\n\n\n\n<p>You\u2019ll need to assign a reminder schedule to a request before publishing it. Do it from the drop-down menu in <strong>Publish Settings<\/strong>:<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/chrome_JTekZUi2Bd.png\" alt=\"\" class=\"wp-image-1747\"\/><\/figure>\n\n\n\n<p>From there, you can choose:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The default reminder schedule<\/li>\n\n\n\n<li>Don\u2019t send any messages to my client (this means your client won\u2019t receive any emails whatsoever)<\/li>\n\n\n\n<li>No automatic reminders (they will only receive the initial email)<\/li>\n\n\n\n<li>One of your own reminder schedules (if you have any, they will be shown as options in the drop-down menu)&nbsp;<\/li>\n<\/ul>\n\n\n\n<p>All emails due to be sent out are then shown on the <a href=\"https:\/\/help.contentsnare.com\/knowledge-base\/calendar-view\/\">calendar view<\/a>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Next steps:<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/help.contentsnare.com\/knowledge-base\/manual-emails\/\" data-type=\"ht_kb\" data-id=\"1749\">Manual emails<\/a><\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>A reminder schedule is a set of rules that determines when Content Snare sends reminders.
