{"id":2197,"date":"2024-03-24T23:06:18","date_gmt":"2024-03-24T23:06:18","guid":{"rendered":"https:\/\/contentsnare.com\/help\/knowledge-base\/confidential-fields\/"},"modified":"2025-04-25T08:07:10","modified_gmt":"2025-04-25T08:07:10","slug":"confidential-fields","status":"publish","type":"ht_kb","link":"https:\/\/help.contentsnare.com\/knowledge-base\/confidential-fields\/","title":{"rendered":"How do Confidential Fields work?"},"content":{"rendered":"\n<p>One of the best parts of Content Snare is that your clients can access their request without having to remember a login.<\/p>\n\n\n\n<p>Content Snare uses \u201cunguessable links\u201d so that strangers cannot find existing requests. However, if your client forwards their link to someone else, or someone gains access to their email, that person will be able to access your client\u2019s info.<\/p>\n\n\n\n<p>This is where confidential fields come in.<\/p>\n\n\n\n<p>After submitting an answer to a confidential field, the client will only be able to see it within the same session. If they refresh the page, close and reopen the request, or switch devices, the answer will be hidden, and they must replace it entirely if they wish to update it.<\/p>\n\n\n\n<p>They are able to answer your question just like a normal field, but once they submit their answer, they will not be able to see what they have entered.<\/p>\n\n\n\n<p>You will need to \u201cunlock\u201d confidential fields to be able to view them, by entering your password again, and you\u2019ll be prompted to delete them once you\u2019ve accessed them.<\/p>\n\n\n\n<p>This is useful for any content that you want to keep extra-secure. Common use cases include scanned confidential documents, tax file numbers, financial details, and similarly sensitive information.<\/p>\n\n\n\n<p>However, this feature should be used sparingly.<\/p>\n\n\n\n<p>Consider what a request would look like if your client could not see any of the info they previously entered. It could get confusing. If lots of your questions need to be kept confidential, you should consider requiring a PIN or password for your clients to log in.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How to enable confidential fields<\/h2>\n\n\n\n<p>Like all the other field settings, you\u2019ll find the switch for Confidential in the right bar when editing a field.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"480\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/unnamed-2-1024x480.png\" alt=\"\" class=\"wp-image-2822\" srcset=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/unnamed-2-1024x480.png 1024w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/unnamed-2-300x141.png 300w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/unnamed-2-768x360.png 768w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/unnamed-2-50x23.png 50w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/unnamed-2-60x28.png 60w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/unnamed-2-100x47.png 100w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/unnamed-2.png 1212w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>Note that only certain field types can be marked as confidential. These are:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Text<\/li>\n\n\n\n<li>Email<\/li>\n\n\n\n<li>Image<\/li>\n\n\n\n<li>File<\/li>\n\n\n\n<li>Number<\/li>\n\n\n\n<li>Phone<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Unlocking conditional fields<\/h2>\n\n\n\n<p>You \u2014 and your team members \u2014 may unlock a conditional field to see what your client entered by supplying your password. Once unlocked, you will see the answer along with options to quickly relock or delete it. If you don\u2019t unlock any fields for 5 minutes, this is reset and you will need to supply your password again to unlock more fields.<\/p>\n\n\n\n<p>If you close the browser or navigate to another page in Content Snare, answers are re-locked.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Deleting confidential info<\/h3>\n\n\n\n<p>Generally, once you access a locked field, you should copy out the data to where it needs to go and then delete it from Content Snare.<\/p>\n\n\n\n<p>You\u2019ll see an option to delete the info in the confidential field once it has been unlocked and approved. The field will still show as \u201capproved\u201d to your client, so they\u2019ll know they\u2019ve finished it.<\/p>\n\n\n\n<p>You\u2019ll see a message that says that the answers were completed but have been deleted.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Rejecting confidential fields<\/h2>\n\n\n\n<p>The workflow for rejecting fields is different when you have turned on confidential mode.<\/p>\n\n\n\n<p><strong>Single answers are deleted<\/strong><\/p>\n\n\n\n<p>When you reject a single-answer question, the information is deleted and your client must re-do their answer. As usual, you can type a message into the \u201creason\u201d box to explain what they did wrong.<\/p>\n\n\n\n<p>This is because if your client is allowed to edit their previous answer, it would expose whatever information was entered into that field.<\/p>\n\n\n\n<p><strong>You cannot reject individual files<\/strong><\/p>\n\n\n\n<p>When you are using multi-answer fields (e.g. where your client can upload multiple files), you can not reject individual files. This is because we also hide the filename from your client and there is no way for them to know which file they are replacing.<\/p>\n\n\n\n<p>Instead:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Reject the entire field and in the \u201creason\u201d, explain which files you need them to upload again<\/li>\n\n\n\n<li>Optionally delete the files that are incorrect*<\/li>\n<\/ol>\n\n\n\n<p>*All of the original answers\/files will be retained but only visible by you. If you have set a maximum number of files to be uploaded, this will be ignored as it makes the experience easier for your client to just upload new files.<\/p>\n\n\n\n<p><strong>You cannot \u201cundo reject\u201d<\/strong><\/p>\n\n\n\n<p>Once a field is rejected, you can\u2019t undo it. This is because data is deleted when you reject a single-answer field.<\/p>\n\n\n\n<p>For multi-answer, you can just re-submit the field.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Exporting confidential fields<\/h3>\n\n\n\n<p>When exporting data, you can choose to include or exclude confidential fields. They must click submit \u2013 If your client types in some info or uploads a file and does not click submit, they will see a message saying that they need to hit submit or their data will be lost.<\/p>\n\n\n\n<p>3. The revise button may delete their previous answer \u2013 If a client submits an answer and then clicks revise, without closing their browser, they will be able to edit their answer. However if they close their browser and come back later, the \u201cRevise\u201d button deletes their previous answer immediately.
