{"id":2382,"date":"2024-03-24T23:10:21","date_gmt":"2024-03-24T23:10:21","guid":{"rendered":"https:\/\/contentsnare.com\/help\/knowledge-base\/request-like-a-form\/"},"modified":"2026-02-12T10:20:32","modified_gmt":"2026-02-12T10:20:32","slug":"content-snare-with-forms-2","status":"publish","type":"ht_kb","link":"https:\/\/help.contentsnare.com\/knowledge-base\/content-snare-with-forms-2\/","title":{"rendered":"Using Content Snare with Forms"},"content":{"rendered":"\n<p>We often get asked if it\u2019s possible to put a Content Snare request on a website so that anyone can fill it out.<\/p>\n\n\n\n<p>While it isn\u2019t possible, there\u2019s a workaround. In many instances, this is a better workflow.<\/p>\n\n\n\n<p>If you were to add a large form on your site, there\u2019s a reasonable chance that someone will begin filling it out, realize it\u2019s too hard (or get distracted), and abandon it.<\/p>\n\n\n\n<p>You\u2019ll never even know they tried.<\/p>\n\n\n\n<p>But if you have a small, easy-to-complete form first, then follow up with the bulk of the questions in Content Snare, it\u2019s a win for everyone.<\/p>\n\n\n\n<p>You\u2019ll get the prospective client\u2019s info, and they\u2019ll be able to complete the harder questions on their own time without having to do it all in one go.<\/p>\n\n\n\n<p>To do this, you\u2019ll need to use an intermediate workflow tool called <a href=\"https:\/\/zapier.com\/\" target=\"_blank\" rel=\"noopener\">Zapier<\/a>.<\/p>\n\n\n\n<p>The process for this looks like:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Your prospective client fills out a form on your website<\/li>\n\n\n\n<li>Zapier automatically creates a Content Snare request when the form is completed<\/li>\n\n\n\n<li>Content Snare follows up with your client to complete the rest of the information<\/li>\n<\/ol>\n\n\n\n<p>This is what a simple workflow would look like in Zapier:<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"766\" height=\"503\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled-8.png\" alt=\"\" class=\"wp-image-2474\" srcset=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled-8.png 766w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled-8-300x197.png 300w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled-8-50x33.png 50w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled-8-60x39.png 60w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled-8-100x66.png 100w\" sizes=\"auto, (max-width: 766px) 100vw, 766px\" \/><\/figure>\n\n\n\n<p>The simple version is to send the same request to everyone.<\/p>\n\n\n\n<p>The more complicated one below uses Zapier\u2019s Paths to send a different request based on what service they selected in the form:<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"564\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled1-5-1024x564.png\" alt=\"\" class=\"wp-image-2476\" srcset=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled1-5-1024x564.png 1024w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled1-5-300x165.png 300w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled1-5-768x423.png 768w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled1-5-50x28.png 50w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled1-5-60x33.png 60w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled1-5-100x55.png 100w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/Untitled1-5.png 1321w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>You\u2019ll have to substitute Gravity Forms for whatever forms tool you typically use. You could build this workflow with any forms tool that Zapier supports, like Typeform, Jotform, Tally, or Google Forms.<\/p>\n\n\n\n<p>If you\u2019re using Microsoft Forms, you\u2019ll need to first set up your form to <a href=\"https:\/\/support.microsoft.com\/en-us\/office\/microsoft-forms-and-excel-workbooks-c61b5751-8128-4434-abb0-246f5e2a3b01\" target=\"_blank\" rel=\"noopener\">work with Excel<\/a>. Then use Excel as the trigger for the Zapier workflow.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How to do this step-by-step&nbsp;<\/h2>\n\n\n\n<p>First, you\u2019ll need a Zapier account.&nbsp;<\/p>\n\n\n\n<p>Once you have signed up, create your first workflow by clicking the \u201cMake a Zap\u201d button.&nbsp;<\/p>\n\n\n\n<p>For the sake of this tutorial, you\u2019ll need simple forms software like Typeform, Gravity Forms, or Google Forms. In our example, we\u2019ll be using Gravity Forms.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Step 1: Create your simple contact form on Gravity Forms<\/h3>\n\n\n\n<p>The first step is to create your contact form and embed it on your website. Embedding is another guide in itself \u2014 each website builder is different but it shouldn\u2019t take you more than a couple of minutes.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td><strong>Note<\/strong>: We recommend capturing your client\u2019s basic contact information so you can later feed it to Content Snare using Zapier.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Step 2: Create a trigger<\/h3>\n\n\n\n<p>You\u2019ll trigger this workflow with Gravity Forms \u201cNew Entry\u201d trigger. Every time a client completes a field, we\u2019ll add it to our daily summary.&nbsp;<\/p>\n\n\n\n<p>Now go ahead and test the trigger to get some sample data.&nbsp;<\/p>\n\n\n\n<p>As you can see, the fields are pretty straightforward. Zapier will pick up the form\u2019s latest answer.<br><br>You\u2019ll only require the 3 fields to create a client in Content Snare:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Company Name<\/li>\n\n\n\n<li>Full Name<\/li>\n\n\n\n<li>Email<\/li>\n<\/ul>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"766\" height=\"503\" src=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/usingcswithforms1-1.png\" alt=\"\" class=\"wp-image-2478\" srcset=\"https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/usingcswithforms1-1.png 766w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/usingcswithforms1-1-300x197.png 300w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/usingcswithforms1-1-50x33.png 50w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/usingcswithforms1-1-60x39.png 60w, https:\/\/help.contentsnare.com\/wp-content\/uploads\/2024\/03\/usingcswithforms1-1-100x66.png 100w\" sizes=\"auto, (max-width: 766px) 100vw, 766px\" \/><\/figure>\n\n\n\n<h3 class=\"wp-block-heading\">Step 3: Create a Request in Content Snare<\/h3>\n\n\n\n<p>Again, pick Content Snare from the list and choose \u201cCreate Request\u201d as the Action Event.<\/p>\n\n\n\n<p>After, it\u2019ll ask you to set up the action. You can choose from a multitude of options. We suggest keeping it simple.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td><strong>Note<\/strong>: You can create a client and the request in one step. You do not need a \u201cCreate Client\u201d step first.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Name<\/strong>: This is the name of the request. For this example, we chose \u201cName\u201d and the entry\u2019s \u201cSubmit Date\u201d from Gravity Forms.&nbsp;<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Folder<\/strong>: If you don\u2019t choose a folder, it\u2019ll default to \u201cDefault Folder\u201d. To keep things organized, We suggest creating a folder for this automation. After all, automation is meant to save you time!<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Request Template<\/strong>: This is where you\u2019ll choose the request to be sent for the automation. Zapier will pull all of your templates so you can choose one.<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Email<\/strong>: This is the email of the Request\u2019s recipient.<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Full Name &amp; Company Name<\/strong>: These fields are only required for \u201cNew Clients\u201d. Make sure to include these questions in your form if you aim to create new Content Snare out of this automation.<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Due<\/strong>: If you\u2019re planning on having this automation run forever, leave this space blank. It will automatically default to set the due date to 14 days from when the request is created.<br>Even if you\u2019re doing it for an event, most likely your clients won\u2019t answer on the same day.<\/li>\n<\/ul>\n\n\n\n<p>Continuing on the same step, don\u2019t worry, we\u2019re almost finished!<\/p>\n\n\n\n<p><br>All of the settings that you\u2019ll see here are the same as the last phase of the Request creation process.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Status<\/strong>: Unless you want to micromanage your requests, always set it to \u201cPublished\u201d, otherwise your request will default to \u201cDraft\u201d and won\u2019t get sent.<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Communication Template<\/strong>: This is where you\u2019ll choose your reminder schedule. We recommend you create a separate one for this automation. A one-size-fits-all kind of template is not recommended.<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Request Owner<\/strong>: If you\u2019re running a one-person show, opt to create an alternate email address, add it as a team member, and assign it to this automation. If you don\u2019t mind mixing your Requests\u2019 notifications in one Inbox, then assign yourself as the Request Owner.&nbsp;<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Share Via Link Enabled<\/strong>: This allows your Client to access the Request without needing them to log in.<\/li>\n<\/ul>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Passcode Enabled<\/strong>: If you want an extra layer of security, you can require your client to enter a PIN code to access the request.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Step 4: Test your Zap and turn it on<\/h3>\n\n\n\n<p>At the end of your Zap creation process, don\u2019t forget to test it out. Don\u2019t be scared if an error pops up.&nbsp;<\/p>\n\n\n\n<p>Zapier can be kinda clunky sometimes and mark things as errors just because it had a bad day.<\/p>\n\n\n\n<p>At the bottom, you\u2019ll see a black bar asking you if you\u2019re ready.&nbsp;<\/p>\n\n\n\n<p>If you\u2019ve gotten this far in the guide, of course you\u2019re ready.
