RFI Software
Effective RFI Management & Tracking
Keep projects moving
RFIs can be one of the biggest causes of delay for projects in construction, engineering, government and agencies.
When there are multiple outstanding RFIs, they become hard to manage through spreadsheets which is the most common technique.
On the flip side, effective RFI management ensures all required information is received and keeps projects on schedule.
Content Snare can be used as RFI tracking software to lodge RFIs with your clients and keep them accountable for delays.
Easily accessible RFIs
RFI’s often become difficult to manage when clients provide information in multiple places. It’s not uncommon for a single RFI to result in several documents, emails and version control issues.
With Content Snare, your clients have a single way to provide info with varying levels of access.
- Require them to log in - best for sensitive data
- Allow them to simply click a link and automatically log in - easiest for clients
- Require a PIN code
Once they are inside, your clients can upload documents, copy and paste or enter information manually. Everything is saved in real time so both you and your clients can view the progress on all outstanding RFIs.
Automatic reminders and notifications
Once an RFI is sent, Content Snare will continue to remind stakeholders based on the reminder schedule you set. That way your staff can get back to billable work instead of having to check in on RFIs and manage the associated back-and-forth by email.
Include supporting information
Requests in Content Snare can include any project-specific information to aid your clients. This might include:
- Changes in scope caused by this RFI
- References to project items in other systems (through hyperlinks)
- Image references
- Videos
Request any kind of information including files
Requests for information can be structured of many different types of information. Fields can be open ended, but you can also choose to lock clients in to providing exactly what you need.
The available fields include:
- Single line, multi line or formatted text (limit min/max length)
- Email, URL, Phone
- Numerical
- Date/time
- Image upload (limit size, aspect ratio)
- File and document upload
- Checkbox, radio, dropdowns
- Color picker
Approve, reject or lock in
Once information is provided by clients, approve or reject information on a field-by-field basis.
Rejecting a field notifies your client to return to the system and update provided information according to your comments.
Alternatively, you can approve the information to lock it in and prevent further changes.
Create templates for common RFIs
RFI’s can be saved as templates for re-use on future projects, saving more time.
